Project Overview
ESYDA Connect is a centralized web application designed for Elite Soccer Youth Development Academy to manage its youth soccer programs and strengthen communication between families, coaches, and administrators. The platform brings registration, payments, team management, schedules, and community engagement into one accessible system. Purpose The project aims to simplify administrative work, give families convenient access to their children’s soccer information, and equip coaches with the tools to manage their assigned teams. It supports programs such as MLS GO, Competitive, and Elite Travel Team, organized by season. Main Portals - Admin Portal: Manage seasons, programs, registrations, teams, staff permissions, fees, payments, outstanding balances, communications, and events. A Program Hub organizes registrations by season and program. - Parent Portal: Register players, view player information and team schedules, access Team Chat, pay program balances, submit support requests, and purchase jerseys and accessories through the Store. - Coach Portal: View assigned teams, access schedules, record attendance, communicate with families, and submit timesheets. Core Features - Season and program management: Centralized program configuration, with public program fees synchronized to the correct season’s settings. - Registration and player records: Organized player and guardian information connected to the appropriate program, season, and teams. - Payments and financial reporting: Stripe payments, payment history, approved payment plans, manual adjustments, and revenue and outstanding-balance reporting by team. - Team operations: Practice and game team assignments, scheduling, attendance tracking, and team communication. - Store: Separate purchasing of jerseys, tracksuits, bags, and accessories, with order and inventory management. - Communication and engagement: News, announcements, reminders, notifications, banquet invitations, and other academy events. - Support and access controls: Support requests, feedback, and role-based permissions that limit users to the information and actions appropriate to their responsibilities. Platform and Project Direction ESYDA Connect is being developed using Base44, with a responsive experience for desktop and mobile users. Development focuses on reliable data synchronization, accurate financial records, clear navigation, and consistent access across portals. The overall goal is to give ESYDA one dependable system for running its programs while making participation easier for families and helping coaches focus on player development.
Challenge
Project Challenge ESYDA needs to manage multiple soccer programs, seasons, teams, and family accounts while keeping registration, payments, schedules, and communication connected. When information is spread across separate pages or processes, staff must spend extra time reconciling records, and families may encounter inconsistent fees, missing player information, or unclear balances. The main challenges ESYDA Connect aims to address include: - Consistent information: Keeping program fees, season settings, registrations, and public pages synchronized. - Accurate financial tracking: Correctly accounting for payments, deposits, refunds, waivers, and adjustments while showing revenue and outstanding balances by team. - Season organization: Separating current and future registrations without duplicating players or losing historical records. - Appropriate access: Ensuring parents can access their children’s information, coaches see their assigned teams, and financial or administrative tools remain restricted to authorized staff. - Reliable communication: Helping families receive and find schedules, announcements, team messages, and event invitations. - Dependable workflows: Ensuring saved contacts, profile updates, registrations, and other changes appear correctly and remain available after refreshing. The central challenge is building a reliable, easy-to-use platform that reduces administrative work while giving every user accurate information and clear next steps.
